Order matters more than effort

Payroll errors are rarely arithmetic. They come from running the calculation before the inputs were final — a joiner added after the cutoff, a leave approved after attendance froze, a revision backdated once the register was already generated.

A checklist works because it forces the inputs to settle before the money is computed.

Before you calculate

Close the input side completely, and make the cutoff real. A cutoff that everyone knows can be extended is not a cutoff.

  • Freeze attendance and confirm every pending regularisation is decided.
  • Confirm all leave for the period is approved or rejected — nothing pending.
  • Lock joiners, exits, and revisions effective in the period.
  • Verify new joiners have bank details, tax declarations, and a salary structure attached.
  • Apply loan, advance, and recovery schedules for the cycle.

After you calculate, before you pay

The most valuable check is a variance report against the previous cycle. Most genuine errors show up as a large swing on a small number of employees — exactly what a variance view surfaces and a total-only review hides.

  • Compare gross, net, and headcount against last cycle and explain every outlier.
  • Review all zero-net and negative-net cases individually.
  • Reconcile statutory deductions against what you will actually file.
  • Confirm the bank file total matches the payroll register total exactly.

After you pay

Publish payslips promptly, file the statutory returns within the same cycle rather than batching them, and lock the period so nobody can silently edit a paid month. If a correction is genuinely needed, it belongs in an off-cycle adjustment with its own trail — not as a quiet edit to a closed run.
